Semi-automatic auto-renew function

We would like there to be an option where you can enable a Semi-automatic auto renew function on an enquiry. By being semi-automatic, an email would be sent to the user first prompting them that the enquiry is due to expire and that they need to authorise the renewal on that enquiry. In that way the enquiry does renew but only after some human intervention. This would help limit over use of the auto-renew function (assuming that there was no way for manager to hide the auto-renew function from users).

    Hi Stuart, there is definitely a balance that needs to be struck here. Asset plans have a validity period (usually 30 days) after which time a new BYD enquiry must be submitted to ensure plans remain current. On long running projects, SmarterWX Locate allows a BYD enquiry to be auto-renewed for up to 2 years. If works finish early, or an enquiry area is no longer relevant, it's the responsibility of the enquirer to review and remove any redundant requests. The functionality being requested might increase visibility of active enquiries, however this data is already available in SmarterWX Locate.

    Justin, from a Utility provider point of view we don't want the system automatically generating enquiries without being actively managed as utilities pay per enquiry. This could result in many thousands of enquiries not required. When you look at Utility funding this would over time have a detrimental effect on the services utilities provide and ultimately the community pays. For these auto generations to continue without being actively managed BYDA would need to change the pricing related to automated repeat enquiries.

    Hi Nick, thanks for sharing this idea. We like your suggestion but would propose a small change to it, namely that the email prompt instead be an opt out, rather than a click to continue. The reason we feel this makes sense, is because an enquiry series might otherwise be interrupted or cancelled if a user is on leave. Please let us know if you agree with this change. We can also consider sending a summary if this generates too many emails to high volume users. A summary could also be emailed to Managers or Admins. We'll need to think through all the detail of this.
